Friday Feature – BillBlast Email Module: Status Tracking

This week, Mike Gonzalez introduces Email Status Tracking – a powerful feature set for firms using BillBlast Email Module for legal bill delivery.

Do you ever find yourself questioning whether your client has received let alone opened the bill you sent them? Have you found yourself wondering if your email even got delivered to its intended destination? Or perhaps the email address you used was incorrect? Did the client open the email and forget to respond? Does this lack of transparency cause uncertainty, prevent appropriate follow-up, or cause wasted effort?

What is the Email Status Tracking feature?

Email Status Tracking is built within the BillBlast Email Module and enables users to access the status of emails sent from within the BillBlast web app. This allows billers to get clear visibility into when the email has been delivered and when it has been opened by the client right from the BillBlast Web App.

  • Email Status Tracking allows users to view an exact record of when the email has been delivered to its destination, or if there was a delivery issue, allowing the user to know if resending is needed.
  • Opened emails will have an instant status added to the email history showing the date and time when this action was taken by the client.
  • Provide users with actionable statuses that they can use to follow up with their clients.

This feature coupled with the ability to easily review bills that were not deliverable (emails that resulted in a bounce-back from the targeted recipient(s)), enables firms to ensure all bills reach and are opened by the expected parties. Bounce-backs will show as an “Email Bounced” error on the Errors Tab within the BillBlast web application.

What problem does the Email Status Tracking functionality address for Aderant clients?

Law firm billing and collection team members require easy access to the current status of emails sent to their clients requesting payment for legal services. Should the law firm find themselves in a position where a client is unresponsive, it falls on the firm to find out did they receive the bill? If so, have they opened the email, or has it flown under the radar? Firms need a reliable method to get visibility into the last status of the email they sent. Users are no longer faced with endless hours waiting for a response only to find out the bill never got delivered or opened. Users can easily obtain the status required to resolve the lack of transparency.

The ability to see undeliverable and unopened email bills is critical for firm billing and collection teams. The Email Status Tracking feature enables teams to see when an email did not reach the intended recipient when it was exactly delivered, and when it was opened without the need to reach out to end users or perhaps fall into limbo due to incorrect email address information. Users have real-time insights into these email statuses, allowing for expedited follow-up and verification of acknowledgment from the client.

How will the Email Status Tracking feature impact the legal industry as a whole?

BillBlast’s Email Status Tracking feature provides firms with a user-friendly tool to manage the growing requirements of email billing efficiently and accurately and gives teams the ability to react and respond quickly. The Email Status Tracking function enables firms to achieve a level of transparency not previously available to firms.

More and more firms are leveraging BillBlast, the industry’s fastest-growing legal tech solution, to manage the ins and outs of email billing. The Email Status Tracking feature is putting more of the information their teams need to manage billing and collections at their fingertips. For tracking and audit purposes, BillBlast automatically records when an invoice is delivered and opened. But, even more importantly, it ensures no invoice is left behind by validating that all necessary invoices have been sent to expectant parties. These features increase the speed with which the billing team gains visibility, determines action items, and acts on insights, getting bills delivered and paid, and ultimately reducing the firm’s bill-to-cash cycle and increasing realization.
